What type of work do you transcribe?

We specialise in medico-legal transcription work with experience covering a wide range of disciplines and the associated complex terminology including orthopaedics, ENT, urology, cardiology, psychology, gastroenterology and gynaecology. We also transcribe more general medical work and clinical correspondence.

How does it work?

Our process is straight-forward and secure. We can work with all digital file formats and getting your dictations to us is easy. Simply upload your audio files and templates via our SSL encrypted upload page. You can also add notes, requests and specify required turnaround time. Our team will be in touch soon after to confirm receipt and next steps. Alternatively, you can also send files via email or a secure file transfer system such as Dropbox or Google Drive if you prefer. We are easy to work with and will fit in with your existing processes.

Our services are offered on a pay as you go basis although discounted rates may be available for clients with regular ongoing work who are able to sign fixed term contracts. Your files will be transcribed by an experienced UK medical transcriber and proof read on completion to ensure we deliver transcripts that are well-typed, well-formatted and accurate. The completed files will be returned to you in the format and via the medium you prefer whether that be Word documents via email, zip files via Dropbox or some other combination.

Where are you based?
Our office is based in Manchester and all transcriptions are done here in the UK by native English speakers with considerable medico-legal experience across a broad range of medical disciplines.
What are your fees?

Our transcription services are charged based on the number of audio minutes in your recording. We believe this is the simplest and most transparent charging structure as it allows you to calculate the cost of your workload up front.

How are you cheaper than other transcription providers?

We have lower overheads than the larger agencies who’ll have to offset significant infrastructure and staffing costs in their charges. In contrast to many of our competitors, we operate a simple, transparent, pay as you go service with no hidden extras. We charge by dictation length for upfront visibility and full clarity on costs; no nasty extras for proof reading or confusing, complicated pricing structures!

What about the quality of the transcripts?
We’ve got a great track record in delivering work of the highest quality. All typing is completed by highly experienced transcribers with in-depth medical terminology knowledge. Furthermore, we have standards and tested working practices in place to ensure we deliver transcripts that are typed accurately and well-formatted.  If you find any errors or omissions, we will revise/amend accordingly and thoroughly recheck at no extra cost as part of our standard terms and conditions.
What are your turnaround times?

What format will completed work be returned in?
We’ll return the work in the required format/medium you specify when you start working with us. Typically this is Word documents via email but we can accommodate other formats and mediums (e.g. Dropbox, Google Drive) as required. We can even post back hard copies for a small additional charge.
Can you work with templates and different layouts?
Yes, we do so for many our clients already. It’s all part of the standard service. You can send us your template file and/or a set of guidelines or instructions to follow along with your audio files.
Is your site/service secure? What about confidentiality?
We take confidentiality seriously. JA Transciption adheres to all relevant UK regulations and guidelines including the Privacy and Electronic Communications (EC Directive) Regulations 2003, the Data Protection Act 1998 and the Telecommunications (Data Protection and Privacy) Regulations 1999. Any documents or files transmitted to or from us via our website are protected by SSL browser encryption. We are happy to sign up to any confidentiality or non-disclosure agreements if required.

What file formats do you accept?
We can work with pretty much all digital file formats including DSS, MP3, WAV, WMA, DVF, MOV, ZVR and AMR files. You can send us any electronic files to transcribe including iPhone, Android and other SmartPhone recordings. If you have analogue audio files on tape, cassette or disc you can send these to us too and we’ll convert them to digital format for you for transcription (note fees will apply).
What payment methods do you accept?
We accept payment via PayPal and most UK credit/debit cards (subject to a 3% surcharge). Alternatively, you can also pay via bank transfer. Invoices are issued on the date the completed work is returned and are due for payment within 14 days.

Do I have to sign up to any contracts?
No. We operate on a pay as you go model with no tie ins or hidden extras but we can also offer discounted contractual terms for long standing, ongoing commitments.
Can you deliver large or long term projects?
Yes. We take on both ad-hoc work as well as regular, ongoing work. Whatever the project or duration rest assured you’re in good hands with JA Transcription.
